Create and amend service receipts

In this article we guide you on how to submit and amend service receipts.

Submit a new service receipt

You will be able to submit a new service receipt via the Pending Receipt Creation page under your Payments tab. If there is nothing visible, you do not need to raise a service receipt at this stage.

⚠️Important: Service receipts must be created and approved by Tuesday midnight to ensure it is invoiced within the same week. Submissions made after this deadline will be carried over to the following week for processing.

To submit a new service receipt:

  1. Select the Payments tab, and click the Pending Actions sub-tab.

  2. Click the Pending Receipt Creation button and click the New Service Receipt link under the service agreement you need receipt on.

  3. Select an End Date from the list. This always indicates a Sunday and is the week that you have delivered the service.

  4. Click Next and fill out the information needed to determine how many units or days you have delivered the service for, for that week.

  5. Click Finish once you are happy with the information you have filled out.

  6. Click Actions at the top of the page.

  7. Select Submit.

📌Note: Your service receipt may go into Pending Approval, meaning the client needs to review it before it goes into Approved status.


Amend incorrect service receipt

You can amend a service receipt if you have input incorrect units or rates, depending on its status.

Receipt is in Approved status

If your service receipt is in Approved status:

  1. Navigate to the service receipt you need to amend.

  2. Click Actions, then click Unsubmit.

  3. Input a reason and comment for why you’re un-submitting, then click Save.

  4. Click Actions, then click Edit.

  5. To submit the service receipt, click Actions, then click Submit.

Receipt is in Invoiced status

If your service receipt is in Invoiced status:

  1. Click Actions, then click Request Adjustment.

  2. Add a comment regarding the adjustment of the receipt and click Save.

  3. Enter the correct information so the system correct the amount accordingly.

  4. Click Finish.

  5. Review the draft and if this is correct, click the green Actions button and then Submit.

📌Note: If you don’t have this option, please contact the local authority or council.
