SPINE functionality overview

An overview of our SPINE functionality, including creating patients records and viewing anomalies.

You can use our SPINE integration to perform checks between SPINE and CMS, enabling you to look up patients and detect anomalies.

The system enables two key processes to compare patient data between SPINE and CMS:

  • New patient look-up: Users enter search criteria and link the patient to a corresponding SPINE record.

  • Reviewing anomalies: Users review differences between CMS and SPINE and update the data to resolve mismatches, either through the new anomalies dashboard or directly within the patient record.


Create a new patient

The system will pull details from SPINE when creating a new patient on CMS.

⚠️Important: You need to log in as a client admin user and run a search of the current patient records on CMS.

To link a new CMS patient to SPINE, follow these simple steps:

  1. Click on CMS and then click Patients.

  2. If the Patient record does not show on the search results, click Create New Patient.

  3. Check the patient data against SPINE to confirm whether the record already exists on the SPINE system. Enter as much information as possible, then click Lookup Patient.

  4. If you find the patient on SPINE, the details appear at the bottom of the page under Lookup Results. If the record matches the correct patient, click Create Patient to select the individual and create their record on CMS.

  5. Fill in any missing fields with additional data, then click Next to create the CMS patient record.

  6. If an error message appears because the system can't find the patient record in SPINE, click New, then click Create New Patient Manually when the button appears on the page.

  7. Enter the basic patient information to create the patient on CMS.


View anomalies on a patient record

Follow these simple steps to view anomalies on a patient record:

  1. Click the CMS tab and then click the Anomalies tab.

  2. Any patient records with pending anomalies display a highlighted Anomalies sub-tab box. Click the Anomalies sub-tab to view both Pending and Completed items.


Anomalies against that Patient Record

There are two types of anomalies:

  • Data Mismatch - records which hold data, that doesn't match SPINE.

  • Not Found - indicates patient records stored on CMS, but not found on SPINE.

Follow these simple steps to review the anomalies for a specific patient record:

  1. Click on the CMS tab, then click the Anomalies tab.

  2. Click Review against the specific anomaly.

  3. The system takes you to the review anomaly wizard page. For Completed Anomalies, you can view the resolved mismatches. For Pending Anomalies, you can review the discrepancies and decide how to proceed.

  4. In each case you will be provided with four options:

Keep

Allows you to skip the anomaly without making any changes. If nothing is changed on either record following this, the anomaly may reappear when the next review is completed. every two weeks.

Update

Allows you to accept the changes seen on SPINE and update the SProc record to match this. The patient record will be updated accordingly.

Cancel

Allows you to leave the page.

Go to patient

Takes you to the patient page, where you can review their details and contact their GP accordingly. Following any changes made to SPINE or SProc, you will need to return to the anomaly screen to skip the anomaly by selecting keep. This should disappear in the next review.

After you resolve the anomaly, the system returns you to the Anomalies sub-tab on the patient record. When no pending anomalies remain, the sub-tab is no longer highlighted. You can review the changes made by clicking the Review button within the Completed Anomalies section.
