Use Tasks in CMS

Create, view, and manage tasks within your CMS to track actions and follow-ups against patient records.

The Tasks feature in CMS allows you to create and manage action items directly within the system. Whether you need to follow up with a referrer, chase a document, or assign a task to a colleague, Tasks gives you a central place to record, track, and complete those actions.

📌Note: Tasks can be viewed and managed from the CMS navigation bar and from individual patient records. Your access to certain task options may depend on your user permissions.


Overview of Tasks

Tasks in CMS help you stay organised by recording actions that need to be completed. Each task can include key details such as a subject, due date, priority, and the person responsible.

The Tasks feature includes the following options:

  • Create a new task and assign it to a user or team.

  • Set a task type, status, priority, and due date.

  • Add a subject and description to provide context.

  • Set start and end dates and times for time-sensitive tasks.

  • Re-assign a task to a different user or team.

  • Update the status of an existing task.

  • Resend an email notification relating to a task.

  • Export tasks to Excel.

  • View all open or completed tasks in a filtered list.


Tasks on a patient record

The Tasks tab on the patient record shows a summary of all tasks created during each process completed, relating to the current patient record — for example, a task for an Appeal to take place, or a required Review.

The Tasks tab highlights all the items outstanding for each patient on CMS that users have access to. Tasks are split into two sections: Open and Completed.

🤓Tip: Clicking into a specific task allows you to see all details relating to it, including the date created, description, and the due date.


View open and completed tasks

All tasks assigned to a user are available from the Tasks section. You can filter the list to show either open or completed tasks.

  1. Click CMS in the top navigation bar, then click Tasks.

  2. To view open tasks, select Open from the status filter.

  3. To view completed tasks, select Completed from the status filter.

🤓Tip: Use the pagination controls at the top of the list to adjust how many tasks are displayed at once — you can view 10, 25, 50, or all tasks.


Create a new task

You can create a new task at any time from the Tasks section. Complete the required fields and assign the task to the relevant user or team.

  1. Click CMS in the top navigation bar, then click Tasks.

  2. Click New.

  3. Complete the necessary fields. Fields marked with * are mandatory:

    • Task Type* — select from the available options.

    • Status* — select Pending, In Progress, or Completed.

    • Priority* — select None, Low, or High.

    • Subject* — include the main purpose of your task.

    • Start Date — the date the task begins.

    • End Date — the date the task is expected to end.

    • Start Time — the time the task begins.

    • End Time — the time the task is expected to end.

    • Description* — include details regarding your task.

    • To be assigned to* — select the magnifying glass icon to search for and select the user or team the task is assigned to.

    • Date Due* — the date by which the task must be completed.

  4. Click Save to create the task.

📌Note: If the due date has passed, the task will remain visible in the list with an Overdue status.


Amend a task

To amend an existing task, open the task and use the green Actions button to select from the available options.

  1. Click CMS in the top navigation bar, then click Tasks.

  2. Click the task you want to amend.

  3. Click the green Actions button.

  4. Select the relevant option:

    • Re-assign Task — reassign the task to a different user or team.

    • Update Status — change the current status of the task.

    • Resend Email — resend the email notification relating to the task.

    • Export to Excel — export the task details to an Excel file.
