SPINE functionality

The functionality of SPINE.

This guide will provide an overview of the SPINE functionality within the customer management system (CMS) processes. It will outline these three areas:

• Creating a new patient

• Viewing anomalies for a specific patient

• Reviewing all anomalies

The purpose of the SPINE integration provides the functionality to perform checks between SPINE and CMS by being able to use patient lookup and detection of anomalies.

There are two aspects which allow comparison between patient data on SPINE and the information held on CMS:

  • New patient look-up: Users can enter search criteria, and link the patient to a SPINE record.

  • Reviewing anomalies: Users can review any differences between CMS and SPINE, and update data to resolve the mismatch, both on the new anomalies dashboard and on the patient record

Create a new patient

The system will pull details from SPINE when creating a new patient on CMS.

⚠️Important: You'll need to be logged in as a client admin user and run a search of the current patient records on CMS.

To link a new CMS patient to SPINE, follow these simple steps:

  1. Click on CMS and then Patients.

  2. If the Patient record does not show on the search results, click Create New Patient.

  3. You'll need to check the patient data against SPINE, to see if the record currently exists on the SPINE system. Enter as much information as you can and click Lookup Patient.

  4. If the patient is found on SPINE, the details will show at the bottom of the page under Lookup Results. If this is the correct patient, click on the Create Patient button to select the individual and create their record on CMS.

  5. Fill in any blank fields with additional data, then click on Next to create the CMS patient record.

  6. If an error message appears if the patient record can’t be found within SPINE, click the new button and the Create New Patient Manually button will appear on the page.

  7. Enter the basic patient information to create the patient on CMS.


View anomalies on a patient record

Follow these simple steps to view anomalies on a patient record:

  1. Click on the CMS tab and then the Anomalies tab.

  2. Any patient records that have pending anomalies against them, will show a highlighted anomalies sub-tab box. Click on the Anomalies sub-tab, to show you all Pending and Completed.

Anomalies against that Patient Record

There are two types of anomalies:

  • Data Mismatch - records which hold data, that doesn't match SPINE.

  • Not Found - indicates patient records stored on CMS, but not found on SPINE.

Follow these simple steps to review the anomalies for a specific patient record:

  1. Click on the CMS tab, then the Anomalies tab, then click Review against the specific anomaly.

  2. You'll be taken to the review anomaly wizard page. For Completed Anomalies you will be able to see the resolved mismatch, and for the Pending Anomalies you can view any mismatches and decide how to proceed.

  3. In each case you will be provided with four options:

Keep

Allows you to skip the anomaly without making any changes. If nothing is changed on either record following this, the anomaly may reappear when the next review is completed. every two weeks.

Update

Allows you to accept the changes seen on SPINE and update the SProc record to match this. The patient record will be updated accordingly.

Cancel

Allows you to leave the page.

Go to patient

Takes you to the patient page, where you can review their details and contact their GP accordingly. Following any changes made to SPINE or SProc, you will need to return to the anomaly screen to skip the anomaly by selecting keep. This should disappear in the next review.

Once you’ve resolved the anomaly, you'll be taken back to the anomalies sub-tab on the patient record. When there are no more pending anomalies, the anomalies sub-tab won't be highlighted, and you can view the changes made.

Click on the Review button within the Completed Anomalies section.
