Approval for late service receipts

In this article we explain the new approval condition for service receipts on a threshold from the week end date.

Service Receipt approval conditions can now be configured to automatically flag receipts for approval based on how far in the past or future the week end date falls from the submission date.

When a service receipt is created, the system automatically calculates the number of days between the submission date and the week end date on the receipt. If this calculation falls within your configured threshold, the receipt will automatically be placed into a pending approval state. This will help provide better control over late service receipt submittions whilst maintaining financial accuracy.

โš ๏ธImportant: This feature will need to be configured by the Access system admins to activate this approval condition. Please use the Digital Assistant to get support.

Scenario example

See the following scenario as an example of this feature being enabled:

If the minimum is set to 5 days, and the maximum to 100 days, the system will see this as approval is required for any service receipt with a week end date between 5 and 100 days ago, in the past.

When a service reciept is created, the system calculates how many days ago the week end date is from today. If that number falls between the minimum and maximum, then approval will be required and the service receipt will go into 'Pending Approval' status.

Example:

  • Today is December 11, 2025.

  • Approval condition: minimum is 5 and maximum is 100.

  • User creates service receipt with week end date of December 1 2025, which is 10 days ago.

  • 10 days is between the minimum and maximum, so approval is required.

This feature restricts automatically generated reciepts past a certain time, but not restrict the ability to create a service receipt. For example, if the provider has just been delayed in raising the recipt.
