Track your payments

In this article we guide you on how to track your payments.

You can find out when you’re due a payment in two ways:

  • Locate a specific service receipt and identify when it’s due.

  • Viewing your overall invoices to track your payments.

SProc.Net uses service receipts to generate invoices, which then pay out to you in line with the agreed payment terms. The status of the service receipt indicates the stage it’s in:

Pending Approval

This receipt is pending approval from the local authority. This will not invoice till you receive approval.

Approved

This receipt has approval and is now waiting to go into the next invoice run.

Invoicing

This receipt is currently going through an invoice run. The invoice will be available to view shortly.

Invoiced

This receipt has been added to an invoice, and you can now view when the payment will be made.


Only when a service receipt is in invoiced status will you be able to see when payment is due.

🤓Tip: If manually submitting service receipts, we advise doing so on Monday or Tuesday, as they’ll then be picked up when the invoice run begins on Wednesday.

Specific service receipt

To track payment of a particular receipt, you’ll first need to locate the service receipt on the system. If you know the service receipt number, you can search for this in the Submitted Receipts section of the Payments tab.

You can also find the service receipt in the service agreement.

  1. Open the service agreement, then scroll down to the service receipt section.

  2. To view further details, click the service receipt number.

When a receipt is in invoiced status, there’s an additional field on the service receipt showing the supplier invoice ID. Click this number to be taken directly to the invoice. Alternatively, copy the number and search this in the Invoices section of the Payments tab.

You can view all your invoices, including paid and due in the invoices section of the Payments tab. You can also track the totals of your unpaid invoices, invoices paid this month and uninvoiced service receipts.

When you click into the Invoices section you see three totals:

Unpaid Invoices

This is the total of your unpaid invoices. This value totals all invoices which have not yet reached their due date and are pending payment. You can view these in the Unpaid Invoices section.

Paid this month

This totals all the invoices which have been paid to you this month.

Uninvoiced service receipts

This value is the total of all your service receipts which are in the Approved status. These receipts are currently waiting for the next invoice run to be added to an invoice.


On this page, you’ll see your invoices collated into three separate groups: Unpaid Invoices and This Weeks Invoices, along with a list of all Invoices.

🤓Tip: We recommend using the Fields button to add the Due Date column when reviewing invoices. This shows the rough age and amount of payment at a glance.

If you know the number of the invoice you’re looking for, you can use the Search button to enter the invoice number.

View invoice details

When clicking into an invoice, you see full details of the payment to be made and it’s due date. This date will give you a rough indication of the payment date, however, if this states a weekend then in most cases, you’ll be paid on the Friday before this date. You can view these details in the summary box.

On each invoice, you also see a self-bill file, which you can download. This provides a breakdown of the invoice in a .pdf document. Beneath this, you see a list of service receipts, which may be useful when reconciling your payments.

The service receipts section shows a list of all receipts that are included on the invoice. This is provided you have each of the relevant locations added to your account; you’ll only be able to view receipts for the locations you’re signed up to. You can click on the SR number to see the full receipt, and even click back into the service agreement itself.

To view a list of all service receipts, you can click on the heading. Here you can use the Actions button to export the list of service receipts. You can also click on the Customize and Additional Fields to adjust the fields you see in the table. This allows you to see all the relevant service receipt details at a glance.

Payment

Payment will be sent to your account, using the bank details you’ve provided on the system. You’ll receive payment on or around the due date, in line with the terms. As the payment is sent out, a remittance is also sent to the email address you’ve provided. Therefore, you will receive both the payment and the remittance on the same day.
